Audivice.ai ("Audivice," "we," "us," or "our") operates the website audivice.ai and the Audivice.ai platform, which listens to sales calls and generates itemized invoices from them (the "Service"). This Privacy Policy explains what information we collect, why we collect it, how we protect it, and the choices you have.

If you do not agree with this policy, please do not use the Service.

1. Who this policy covers

This policy applies to two groups of people:

  • Account holders: sales reps, teams, and businesses who sign up for and use Audivice.ai.
  • Call participants and invoice recipients: the clients, prospects, and third parties who join a recorded call hosted by an account holder, or who receive an invoice generated through the Service.

Account holders are responsible for obtaining any consent required by law in their jurisdiction before recording a call or before submitting a third party's mobile number to the Service.

2. Information we collect

Information you give us

  • Account information: name, business name, email address, password, job title, and billing contact.
  • Mobile phone number: provided when you create an account, enable text notifications, or set up two-factor authentication.
  • Payment information: processed by our payment provider. We receive a confirmation and the last four digits of your card; we do not store full card numbers on our systems.
  • Client and invoice data: the names, email addresses, mobile numbers, and billing details of the clients you invoice, as entered by you or captured during a call.
  • Support communications: messages you send us by email, chat, or text.

Information created by your use of the Service

  • Call audio and transcripts: when you connect Audivice.ai to a Zoom, Teams, or Google Meet call, we capture the audio and produce a transcript.
  • Extracted commercial terms: deliverables, quantities, rates, and totals that our AI identifies in the conversation.
  • Invoice records: the invoices generated, their status, and the delivery history for each.

Information collected automatically

  • Device and usage data: IP address, browser type, operating system, pages viewed, features used, and timestamps.
  • Cookies and similar technologies: used to keep you signed in, remember preferences, and measure product usage. You can control cookies through your browser settings.

3. How we use your information

We use the information described above to:

  • provide, operate, and maintain the Service;
  • transcribe calls and generate invoices, scopes, and line items;
  • sync records to the billing and CRM tools you connect, such as Stripe, QuickBooks, Salesforce, and HubSpot;
  • deliver invoices and payment reminders to the recipients you designate;
  • send transactional and security messages, including one-time passcodes, login alerts, invoice notifications, and payment confirmations;
  • process payments and manage subscriptions;
  • respond to support requests;
  • detect, investigate, and prevent fraud, abuse, and security incidents;
  • comply with legal, tax, and accounting obligations;
  • improve the reliability and accuracy of the Service using aggregated or de-identified data.

AI processing and model training

We use automated systems to transcribe and interpret call content. We do not use your call audio, transcripts, client data, or invoice content to train general-purpose AI models, and we do not permit our AI vendors to do so. Processing happens solely to deliver the Service to you.

4. Text, WhatsApp, and RCS messages

Audivice.ai delivers messages by SMS and WhatsApp in two distinct roles.

Messages we send on behalf of our business customers

Our business customers (warehouses, distributors, and suppliers) use Audivice.ai to schedule and run sales calls with their own buyers. When a buyer agrees during a live call to receive the meeting link by text, WhatsApp, or RCS, Audivice.ai transmits that link on the customer's behalf. Call recording is consented to separately, at the start of the call.

For these messages:

  • The business customer obtains consent, controls the contact data, and determines what is sent. They are the data controller.
  • Audivice.ai acts as a processor, transmitting the message under contract and on instruction.
  • Messages are limited to the meeting link, the scheduled time, and any reschedule or cancellation notice for that same meeting.
  • We do not send marketing or promotional messages to these recipients, and we do not use their numbers for any purpose beyond delivering the message our customer asked us to send.

If you received a message from Audivice.ai about a meeting with a supplier and wish to opt out, reply STOP. To exercise any other privacy right, contact the business named in the message, or write to us at privacy@audivice.ai and we will route your request to them.

Messages we send to our own account holders

If you hold an Audivice.ai account and provide a mobile number, we may send you one-time passcodes, login verification, invoice and payment notifications, and service notices such as trial expiry or a failed integration sync.

Common to both

Consent to receive messages is not a condition of purchase, of attending a meeting, or of using the Service. You may opt out at any time by replying STOP. Message and data rates may apply. Full messaging terms are in our SMS & WhatsApp Terms.

Mobile information sharing

We do not sell, rent, or share mobile phone numbers or SMS consent with third parties or affiliates for their own marketing or promotional purposes.

Mobile numbers and consent records are shared only with the messaging providers that transmit the messages on our behalf (for example, our SMS platform and telecommunications carriers), and only for the purpose of delivering the messages you have asked to receive. No mobile opt-in data is passed to any other party for any other purpose.

5. How we share information

We share information only in these circumstances:

WhoWhy
Service providers (subprocessors)Cloud hosting, transcription and AI processing, payment processing, SMS and email delivery, analytics, and customer support tooling. Each is bound by contract to use the data only to provide services to us.
Integrations you connectWhen you authorize a connection to Stripe, QuickBooks, Salesforce, HubSpot, or a similar tool, we transmit the relevant records to that tool. Your use of it is governed by that provider's own privacy policy.
Invoice recipientsInvoice contents are delivered to the recipient you designate.
Legal and safetyWhen required by law, subpoena, court order, or regulation, or where necessary to protect our rights, users, or the public.
Business transfersIn connection with a merger, acquisition, financing, or sale of assets, subject to this policy continuing to apply to the transferred data.

We do not sell personal information, and we do not share personal information for cross-context behavioral advertising.

We update this list as providers change. For questions, write to privacy@audivice.ai.

We do not permit any of these providers to use your data to train general-purpose AI models. Our AI processing runs under enterprise and API terms that exclude customer content from model training.

6. Data retention

We keep information for as long as your account is active and for as long as needed to provide the Service.

  • Call audio: retained for 14 days after processing, then deleted, unless you choose a longer retention period in your account settings.
  • Transcripts and invoices: retained for the life of the account and for 1 years afterward where required for tax, accounting, or legal reasons.
  • Messaging consent and opt-out records: retained for at least 1 years after opt-out, as required to demonstrate compliance with messaging regulations. Where consent was given verbally on a call, the consent record and the corresponding transcript excerpt are retained for the same period.

You can request deletion of your account and associated data at any time by writing to privacy@audivice.ai. We will delete or de-identify the data within 30 days, except where we are required to retain it.

7. Security

We treat the confidentiality of call recordings, transcripts, and customer records as core to the Service, and we maintain technical and organisational measures appropriate to that data.

Controls currently in place

  • Encryption of data in transit and at rest.
  • Role-based access controls, with access to production data limited to personnel who require it.
  • Tenant isolation, so each business account can access only its own records.
  • Authentication controls, including one-time passcodes for account access.
  • Continuous monitoring and alerting across our infrastructure and application, with errors and anomalies surfaced in real time to our engineering team.
  • Audit logging of access to call recordings, transcripts, and consent records.
  • Regular review of dependencies, access rights, and configuration.

Certified infrastructure

The Service runs on infrastructure operated by providers that maintain independent security certifications, including Amazon Web Services, Google Cloud Platform, and our database and messaging providers. Each is contractually bound to process data only on our instructions. Those certifications cover our providers' infrastructure; they are not a certification of the Audivice.ai application itself.

Independent certification

NXR Capital LLC has not yet completed an independent security audit of the Audivice.ai application. We intend to pursue formal certification, such as SOC 2, once the product reaches general availability. We will state the outcome on this page when that audit is complete, and we will not describe Audivice.ai as certified before then.

Businesses evaluating Audivice.ai may request our current security overview, including our subprocessor list and the certifications held by our providers, at privacy@audivice.ai.

No system is perfectly secure. If we become aware of a breach affecting your personal information, we will notify you and any applicable regulator as required by law.

8. Your rights and choices

Depending on where you live, you may have the right to:

  • access the personal information we hold about you;
  • correct inaccurate information;
  • delete your information;
  • obtain a portable copy of your information;
  • object to or restrict certain processing;
  • withdraw consent you previously gave, including SMS consent;
  • opt out of the sale or sharing of personal information (note: we do neither);
  • be free from discrimination for exercising any of these rights.

To exercise any right, email privacy@audivice.ai. We will verify your identity before acting and respond within the timeframe required by applicable law. You may appeal a decision by replying to our response with the word "Appeal."

If you are a call participant or invoice recipient rather than an account holder, the account holder controls your data. We will forward your request to them and assist as their processor.

How to opt out of messages: reply STOP to any message from us, email support@audivice.ai, or call +1-602-362-8881.

9. International transfers

We process and store information in India (asia-south1). Where we transfer personal data out of the EEA, the UK, or Switzerland, we rely on Standard Contractual Clauses or another lawful transfer mechanism.

10. Children's privacy

The Service is for business use and is not directed to anyone under 18. We do not knowingly collect personal information from children. If we learn we have, we will delete it.

11. Changes to this policy

We may update this policy from time to time. We will revise the "Last Updated" date above and, for material changes, notify you by email or in-product notice before the change takes effect.
